Blumont is looking for an organized, outgoing Admin Assistant. The position will assist with a variety of clerical and administrative duties. These tasks include greeting visitors, answering phones, taking messages, managing email and mail correspondence of the Country Director, and calendaring. The position will assist with ordering office supplies and ensure overall office tactfulness and professional appearance. The position is also expected to support different team members when needed.

Job Function/ Description:


To welcome visitors in person and guide them to the offices, meeting rooms.
To answer landline phone calls, info emails and address it to the related persons.
Expertly managing calendars, arrange meetings, transportation bookings, appointments and any other events for the Country Director, and home office staff ensuring all requirements are being prepared.
To ensure arranging and preparing the meeting and training rooms as requested.
To provide support for office staff including (but not limited to) documents photocopying, scanning and archiving, translation, and coordination.
To support HR department in any related tasks as requested including (but not limited to) calling candidates, conduct phone screening, arrange for tests and interviews and send email invitations including the interview/test details and office location.
To supervise the office clerk and oversee the overall office cleanliness condition.
Update Blumont dissemination Sheet based on business cards and contacts received through emails.
Coordinating maintenance and repairs for office equipment and ensuring the overall organization and efficiency of the office environment.
Prepare a daily newsletter that covers essential updates on topics relevant to (but not limited to) Blumont donors and partners news, intended for dissemination among the staff.
Identifying areas for improvement in administrative processes and suggesting enhancements.
Responsible for assigning reference numbers to official letters.
Monitor and maintain office supplies, inventory, and coordinate orders for office supplies and equipment. Keep track of stock levels and reorder as necessary.
Organize and maintain electronic and paper files, and to ensure all documents are properly labeled, stored, and easily accessible.
To perform other duties as assigned.


Required Education & Experience:


BA or Diploma in Business Administration, English literature or related field.
At least 1 year performing duties similar to those listed in the responsibilities section above.


Skills Required:


Friendly and confident personality.
A smart appearance.
Good spoken and written communication skills.
The ability to stay calm under pressure.
The ability to be polite but firm when dealing with difficult, impatient or upset people.
Good organizational skills.
Basic IT skills.
The ability to follow safety and security procedures, and put them into effect.
The ability to use office equipment such as switchboards, fax machines and photocopiers.
An interest in the work of the organization.
