About the Role

We're seeking a highly organized and detail-oriented Administrative Secretary to join our team. As a key member of our support staff, you'll provide critical assistance to ensure the smooth operation of our office.

Your responsibilities will include managing daily office operations, maintaining files and records, answering phone calls, scheduling meetings, and assisting with financial management and accounting.

Key Responsibilities
  • Manage daily office operations, ensuring a seamless and efficient work environment
  • Maintain accurate and up-to-date files and records, both physical and digital
  • Provide exceptional customer service, responding to phone calls and inquiries in a timely and professional manner
  • Schedule meetings and appointments, ensuring seamless coordination with team members and external stakeholders
  • Assist with financial management and accounting tasks, including data entry and reconciliation
  • Finalize documents and reports for distribution to clients and stakeholders
  • Manage office supplies and hardware, ensuring optimal functionality and efficiency
  • Maintain relationships with suppliers and vendors, negotiating contracts and resolving issues as needed
  • Develop and improve administrative systems, processes, and procedures to enhance efficiency and productivity
Requirements
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with team members and external stakeholders
  • Highly organized and detail-oriented, with a strong focus on accuracy and attention to detail
  • Ability to maintain confidentiality and handle sensitive information with discretion

Preferred Experience
  • 3-5 years of experience in a similar administrative role, with a strong focus on office operations and support services
  • Fluency in English and Arabic, with excellent written and verbal communication skills
  • Proficiency in Microsoft Outlook, Microsoft Office, and Google Suite
