We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at ROTANA hotel.
Key Responsibilities:
- Correspondence Management: Organize and manage daily incoming correspondence, making preliminary assessments and handling responses as necessary.
- Document Preparation: Compose and prepare routine correspondence, as well as interpret documents and correspondence as requested.
- Reporting and Filing: Prepare, assemble, and distribute various reports and documents, maintaining accurate filing and records systems.
- Communication and Scheduling: Receive and screen incoming telephone calls, provide information, and refer matters to the appropriate person.
- Calendar Management: Maintain a constantly updated calendar to facilitate appointment and meeting schedules.
- Database and Filing Management: Establish and maintain various filing and database systems for business contacts, track pending items, and follow up as necessary.
- Meeting Coordination: Arrange for meetings and take minutes.
- Administrative Support: Function as an administrative link to ensure all parties receive relevant information.
- Travel Arrangements: Organize business travel arrangements and other duties as assigned.
Requirements:
- Highly organized and detail-oriented individual.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
