We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at ROTANA hotel.

Key Responsibilities:

  • Correspondence Management: Organize and manage daily incoming correspondence, making preliminary assessments and handling responses as necessary.
  • Document Preparation: Compose and prepare routine correspondence, as well as interpret documents and correspondence as requested.
  • Reporting and Filing: Prepare, assemble, and distribute various reports and documents, maintaining accurate filing and records systems.
  • Communication and Scheduling: Receive and screen incoming telephone calls, provide information, and refer matters to the appropriate person.
  • Calendar Management: Maintain a constantly updated calendar to facilitate appointment and meeting schedules.
  • Database and Filing Management: Establish and maintain various filing and database systems for business contacts, track pending items, and follow up as necessary.
  • Meeting Coordination: Arrange for meetings and take minutes.
  • Administrative Support: Function as an administrative link to ensure all parties receive relevant information.
  • Travel Arrangements: Organize business travel arrangements and other duties as assigned.
