About the Organization:

We are currently seeking a result-oriented and innovative Finance and Administration Assistant to join our team at Amman country office.

 

Main Responsibilities:

Financial Support:

- Manage petty cash and bank payments, including documentation and regulatory compliance.

- Collaborate with Finance Manager to facilitate payment processing and bookkeeping.

- Provide guidance to staff on project expenses and advance requests.

- Maintain records for procurement payments and assist in audit preparation.

- Review the periodic expenses reports from partners with supporting documentation.

- Participate in the annual auditing process and address the auditors findings.

 

Procurement:

- Gather quotations and liaise with vendors for best offers.

- Prepare procurement documents and coordinate purchases.

- Assist in consolidating purchases in coordination with the Finance Manager.

 

Administration:

- Ensure daily office and facility management.

- Maintain and update office filing systems.

- Assist in drafting official correspondence and maintaining a correspondence log.

- Arrange travel and accommodation for staff, consultants, and visitors.

 

HR Support:

- Maintain personnel files and time sheets.

- Assist in preparing consultant contracts.

- Support in visa applications and customs requirements.

 

Logistics:

- Handle printing, copying, and scanning of documents.

- Manage office material stock and procurement.

Coordinate vehicle use and oversee asset inventory.

Receive visitors and ensure office well-being.

 

Qualifications:


Bachelor's degree in Business Administration, Accounting, Human Resources, or a related field.
Minimum of 3 years experience, in the same position.
Experience in using bookkeeping software .
Experience in using ICT and Microsoft Office suite applications.
Strong organizational skills, and ability to multitask effectively.
High level of commitment and integrity.
Accuracy, ability to follow procedures, attention to details, meet deadlines and being a team worker.
Very Good Command of English, and Arabic is an asset.
