Job Title: Operations Associate

 

  • About the Role:
  • The Operations Associate is responsible for providing high-quality and accurate travel-related services in the Regional Hub, ensuring timely and effective delivery of optimum travel services.
  • This includes analyzing and interpreting rules and guidelines regarding travel and entitlements, as well as providing solutions to complex issues related to travel.
  • The incumbent also closely monitors travel expenditures and internal costs, ensuring their timely and accurate billing, settlement, and cost recovery.
  • Main Responsibilities:
  • Travel Management:
    • Process travel authorizations and claims in line with travel entitlements for staff, consultants, UN and visitors.
    • Making hotel reservations for visiting UN/UNDP officials and arranging airport pick-ups for high-level officials.
    • Providing support to expedite customs and immigration procedures as necessary.
  • Logistical Support:
    • Assisting in arrangement of shipments, vehicle maintenance, and conference facilities arrangements.
    • E nsuring proper control of documentation supporting the procurement process and maintaining a proper filing system for related payment records and documents.
    • Assisting in organizing and coordinating events, such as logistics, catering, venue preparation, and document preparation.
  • Knowledge Sharing:
    • Participating in training sessions for operations/projects staff on administration.
    • Making sound contributions to knowledge networks and communities of practice.

 

Required Skills and Qualifications
  • Education: Secondary education is required; University degree in business administration, finance, or a relevant field is desirable but not mandatory.
  • Experience: At least 6 years of relevant experience in administration or programme support service, preferably in an NGO or UN setting.
