Key Responsibilities:
Calendar Management:
- Schedule and coordinate appointments, meetings, and events for the management team.
- Manage and prioritize the executives' calendars, ensuring optimal use of their time.
Communication:
- Act as a liaison between the management and the team.
- Draft, edit, and proofread correspondence, emails, reports, and other documents.
Travel Coordination:
- Make travel arrangements, including flights, accommodations, and transportation.
- Prepare travel itineraries and ensure that executives are well-informed about their schedules.
Meeting Support:
- Prepare meeting agendas, materials, and presentations.
- Attend meetings, take minutes, and follow up on action items.
Document Management:
- Organize and maintain digital and physical files, ensuring easy accessibility.
- Handle sensitive and confidential information with the utmost discretion.
Task Prioritization:
- Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met.
- Anticipate the needs of the management team and proactively address them.
Office Management:
- Oversee office supplies and equipment, ensuring a well-functioning work environment.
- Assist in the onboarding of new employees and provide support as needed.
Problem Solving:
- Identify and resolve administrative issues and challenges promptly.
- Anticipate potential problems and proactively implement solutions.
Personal Support:
- Provide personal support to the executives as needed, both in a professional and personal capacity.
Qualifications:
- Bachelor's degree in Business Administration or a related field (preferred).
- Proven experience as an executive assistant or personal assistant.
- Excellent in both English & Arabic Language.
- Proficient in office software (Microsoft Office, Google Workspace).
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Discretion and confidentiality in handling sensitive information.
