Senior Executive Assistant to the CEO

- Serve as the primary point of contact between the CEO and all internal and external stakeholders, including senior leadership, clients, and partners.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
- Manage the CEO's calendar, appointments, and travel logistics, ensuring optimal time management and prioritization.
- Prepare, review, and edit executive-level correspondence, reports, presentations, and confidential documents.
- Support board meetings and leadership meetings, including agenda setting, preparing documentation, taking minutes, and following up on action items.
- Track and follow-up on key initiatives, projects, and deadlines, ensuring timely completion and alignment with the CEO's priorities.
- Liaise with internal teams to ensure seamless cross-department coordination and communication.
- Organize high-profile meetings, visits, and workshops on behalf of the CEO.
- Oversee special projects and initiatives from inception to execution, ensuring alignment with organizational objectives.
- Serve as the CEO's central support by anticipating needs, providing insights, and handling all requests to the CEO's attention.
- Draft and review contracts, agreements, and communications as requested by the CEO.
- Facilitate smooth communication between the CEO and other executives, ensuring priorities and key messages are conveyed accurately.
- Support personal scheduling needs of the CEO.
- Coordinate and manage executive-level budgets, expense reporting, and financial tracking related to the CEO's executive office.
- Provide administrative support as needed.
- Ensure the CEO is fully prepared for meetings, presentations, and strategic discussions by compiling briefs and materials.
- Proactively identify opportunities to improve workflow, reduce friction, and anticipate challenges before they arise.
- Attend internal and external meetings as needed or as requested.
- Maintain a professional and approachable presence, with an executive presence, while fostering positive relationships across all levels of the organization.
Requirements Academic Requirements:
- Master's degree in IT, Industrial Engineering, Business Administration, Computer Science, or a related field.
- 7–10 years of proven experience as an Executive Assistant, Personal Assistant, or similar role, preferably supporting high-level executives.
- High proficiency in English (fluent verbal and written communication required).
- Prior experience in technology or IT services is strongly preferred.
- Ability to work under pressure, handle confidential information discreetly, and adapt quickly to shifting priorities.
- Demonstrated experience in stakeholder management and liaising across multiple levels of leadership.
- Strong coordination skills for executive schedules, board meetings, and cross-department projects.
- Excellent business communication, presentation, and interpersonal skills.
- Proven ability to balance administrative responsibilities with strategic coordination tasks.
- Adept in project management, vendor management, and logistics coordination.
- Advanced computer literacy (Microsoft 365, Teams, project management tools, collaboration platforms).
- Strong organizational skills, attention to detail, and a proactive mindset.
- Ability to work under pressure, handle confidential information with discretion, and adapt quickly to shifting priorities.
